Who we are
The Email Machine is made by Outhired, legal name, address, company number. If you have a question about your data, email us at contact email.
What this policy covers
This website, buying a licence, and using the Email Machine app.
Data we collect
- When you visit this website: basic technical data like your browser and the pages you view. We measure visits and ads with Triple Whale (see the cookie policy).
- When you buy: your name, email, WhatsApp number (if you give it), company details and billing address. Payments are handled by Slash and its card processor. We never see or store your full card number.
- When you use the app: your licence key, the app version, and error reports, so we can keep your licence working and fix problems.
Your store data
The app connects to your Shopify, Klaviyo and other tools with keys you provide. Your Shopify and Klaviyo keys are locked on your computer and never leave it. Your AI keys pass through our server only to do a job for you. We never store them.
To do a job, the facts it needs (your products, your brand, your answers) pass through our server. We do not keep them after the job. Your Email Machine folder is on your computer and is yours.
We keep only what we need to run your licence and help you: your signed licence agreement, your activation keys and store addresses, error reports (with keys removed), and WhatsApp messages on their way to you.
Your customers' data stays in your own Shopify and Klaviyo accounts. You remain responsible for it, and for being allowed to email the people on your list.
Why we use your data
- To deliver your licence and the app (contract).
- To send invoices and meet tax rules (legal duty).
- To keep the app working and secure (legitimate interest).
- To send product updates. You can unsubscribe any time.
Who we share it with
Only the services we need to run the product: Slash and its card processor (payments), Resend (the email with your keys), our hosting providers Vercel and Fly.io, Anthropic (AI), and Triple Whale (measuring which ads bring buyers, see the cookie policy). We never sell your data.
How long we keep it
Purchase records: as long as tax law requires, usually 7 years. Licence and support data: while your licence is active, and up to 2 years after.
Your rights
You can ask to see, correct, export or delete your data, or object to how we use it. Email us and we'll reply within 30 days. You can also complain to your local data protection authority.
Changes
If we change this policy, we'll update the date at the top. For big changes, we'll email you.
